1. About these terms

These Terms and Conditions govern your use of RRACheck (rracheck.co.uk), operated by NZN Engineering Software and Consultancy Limited (Company No. 13384743) ("we", "us", "RRACheck"). By creating an account or using the Service, you agree to these terms. If you do not agree, do not use the Service.

2. The Service

RRACheck provides software tools to help UK landlords manage compliance with the Renters' Rights Act 2025 and related legislation, including:

• Sending the Information Sheet to tenants
• Generating Form 4A rent increase notices and Section 8 possession notices
• Tracking certificates, deposits, maintenance, arrears and Right to Rent checks
• Digital record-keeping for Making Tax Digital (MTD)
• Generating tenancy agreements

RRACheck is not a law firm and the Service does not constitute legal advice. Documents generated by RRACheck are templates only. You are responsible for ensuring documents are appropriate for your specific circumstances.

3. Eligibility

You must be at least 18 years old and a private landlord or letting agent operating in England to use RRACheck. By creating an account you confirm you meet these requirements. The Service applies to England only — it does not cover Scotland, Wales or Northern Ireland.

4. Your account

You are responsible for keeping your login credentials secure and for all activity that occurs under your account. You must notify us immediately at hello@rracheck.co.uk if you suspect unauthorised access. You must provide accurate information when creating your account.

5. Subscriptions and payment

RRACheck offers a free tier and paid subscription plans. Paid plans are billed monthly in advance via Stripe. By subscribing you authorise Stripe to charge your payment method on a recurring monthly basis.

Cancellation: You may cancel your subscription at any time from your account page. Cancellation takes effect at the end of your current billing period. No refunds are issued for partial months, except where the 7-day money-back guarantee applies.

7-day money-back guarantee: If you are not satisfied with a paid plan, contact us within 7 days of your first payment for a full refund.

Price changes: We will give you at least 30 days' notice of any price increase by email before it takes effect.

6. Acceptable use

You agree not to:

• Use the Service for any unlawful purpose
• Attempt to gain unauthorised access to our systems
• Use the Service to harass, intimidate or unlawfully discriminate against tenants
• Resell or sublicense the Service without our written permission
• Use automated tools to scrape or extract data from the Service

7. Your data and content

You retain ownership of all property, tenant and financial data you enter into RRACheck. You grant us a limited licence to process this data solely to provide the Service. You are responsible for ensuring you have the legal right to enter tenant personal data and that your use of tenant data complies with UK GDPR.

8. Disclaimer and limitation of liability

The Service is provided "as is". We do not warrant that:

• Documents generated are legally valid in all circumstances
• The Service is free from errors or interruptions
• Legal information on the Service reflects the most current state of the law

To the maximum extent permitted by law, our total liability to you for any claims arising from your use of the Service shall not exceed the total subscription fees you paid in the 12 months preceding the claim.

We are not liable for any indirect, consequential, or incidental loss including loss of rent, legal costs or fines arising from your use of the Service.

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded by law.

9. Making Tax Digital (MTD)

RRACheck provides digital record-keeping tools and CSV export for MTD purposes. RRACheck is not currently an HMRC-recognised software for direct submission. You are responsible for ensuring your MTD obligations are met. Where RRACheck connects to HMRC APIs on your behalf, you authorise us to do so and you remain responsible for the accuracy of the data submitted.

10. Intellectual property

All software, design, content and trademarks on RRACheck are owned by NZN Engineering Software and Consultancy Limited or its licensors. You may not copy, modify or distribute any part of the Service without our written permission. Template documents generated by the Service may be used freely for your own landlord compliance purposes.

11. Termination

We may suspend or terminate your account if you breach these terms. You may delete your account at any time from your account settings. On termination, you lose access to the Service and we will delete your data in accordance with our Privacy Policy.

12. Changes to these terms

We may update these Terms and Conditions. We will give you at least 14 days' notice of material changes by email. Continued use of the Service after the effective date constitutes acceptance.

13. Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
